  1. Booking and Cancellations:

By booking, you agree to our terms and conditions, accessible on our website.

Sensory Magic with Ebony reserves the right to update these terms without notice. Continued use of their services confirms acceptance of any updates.

You are responsible for confirming the accuracy of your booking details, including:

  • Location
  • Date and time
  • Number of participants
  • Cost
  • Contact details
  • Any participant allergies Sensory Magic with Ebony must be aware of

Please read more information about payment, refunds, and cancellation below.

  • Payment before Service:

Sensory Magic with Ebony requires payment before they provide the service. This means you need to settle any fees due (either upfront or according to agreed payment terms) before the booking is delivered.

Once your booking has been paid in full you will receive an invoice by email. This will also attach these terms and conditions.

  • Cancellation for Non-Payment:

Sensory Magic with Ebony reserves the right to cancel your booking if you fail to make payment by the agreed deadline.

There will be a 50% cancellation fee within 24-hours of the event to compensate Sensory Magic with Ebony for the time and resources allocated to your event.

  • Non-refundable Deposits and Cancellation for birthday parties and incursions:

    – A 50% deposit is required for all incursions and birthday parties non-negotiable.
    – This deposit is non-refundable.
    – If you cannot attend your scheduled booking, you must contact Sensory Magic with Ebony to reschedule.
    – Rescheduling is strictly subject to availability.

Playgroup session payment is due the day before the event.
If your child cannot attend, unfortunately, we cannot offer a refund as your booking takes up a spot that could have been filled by another child. However, in case of illness, we are happy to offer a make-up session.

  • Refunds for Cancellation by Sensory Magic with Ebony:

If Sensory Magic with Ebony cancels a booking due to reasons not caused by the customer, they will offer a full refund of all fees paid.

  • Refunds at Sensory Magic with Ebony Discretion:

Sensory magic with Ebony may, in certain cases, approve customer requests for refunds. If approved, the customer will receive a refund of their fee minus the deposit and any transactional fees.

  • Cleaning:

Sensory magic with Ebony will clean the designated activity area after the service.

Our cleaning obligations only include the specific area where the activities are conducted. This does not extend to the entire venue or household.

Please note Sensory Magic with Ebony will not clean carpeted areas.

We recommend hosting parties and sensory activities in a space where food and various coloured stains can be easily cleaned.

  • Children’s Welfare and Illness:

If an educator observes that a child is unwell or showing symptoms of illness before or during the service, Sensory Magic with Ebony staff can deny their participation for everyone’s health and safety.

No refunds or credits will be issued in such cases.

If your child is unwell prior to the event and cannot attend, please notify Sensory Magic with Ebony within 24 hours to receive a free alternative class of equal or lesser value.

  • Allergies:

While Sensory Magic with Ebony prioritises safety and takes allergies seriously, they cannot guarantee a completely allergen-free environment.

Parents and guardians are responsible for disclosing their child’s allergies and ensuring their child’s safety during the service.

Sensory Magic with Ebony will accommodate allergies whenever possible and will communicate whether such accommodations can be provided at the time of booking.

  1. Supervision and Liability:

Parents or guardians are required to be always present during the service and are responsible for the supervision of their child/children before, during, and after the service. Sensory Magic with Ebony educators are there to facilitate activities, but it is essential to note that we cannot, under any circumstances, assume responsibility for the care of children.

Please note Sensory Magic with Ebony is not a registered childcare provider and is not licensed to care for children without parental or guardian supervision. If Sensory Magic with Ebony workers feel that the level of supervision is inadequate, they have the right to stop the service and may pack up if supervision is not adequate.

Please be aware that the area may become slippery due to food items, water, and other ingredients on the ground. By using our service, you acknowledge and agree that Sensory Magic with Ebony is not responsible for any potential injuries sustained by children, parents, or guardians during, before, or after a Sensory Magic with Ebony event.

Participants in our services engage in activities involving sensory play, which can be messy and occasionally include substances like slime. While we prioritise safety, there is an inherent risk of mess and, in rare cases, minor accidents. By using our service, you acknowledge and accept this inherent risk. Sensory Magic with Ebony is not liable for any injuries or damages that may occur during the service, except in cases of gross negligence or wilful misconduct on our part.

Our programs and activities are designed to be age-appropriate and safe. However, individual children may react differently to the sensory materials and activities. Parents or guardians should use their judgment to determine whether a particular activity is suitable for their child.

Please note that while we strive to offer taste-safe activities, we cannot guarantee every experience will be entirely “taste-safe” due to potential materials like paint, glitter, or other non-edible ingredients used in some activities. We prioritise safety and always encourage supervision before, during, and after the event.

Any testimonials or reviews on our website or promotional materials represent the experiences of previous customers. Individual results may vary, and Sensory magic with Ebony does not guarantee the same experiences or results for all participants.

  1. Hygiene and Clothing:

Parents or guardians must ensure children always wear nappies or underwear during Sensory Magic with Ebony events.

Sensory Magic with Ebony will take necessary precautions to prevent clothing from being damaged. We use washable paints and stain free products.

Sensory Magic with Ebony cannot guarantee that these products will wash out of all clothing fabrics. We recommend you wear older and spare clothes that you are willing to damage.

Sensory Magic with Ebony is not responsible for damaged clothing items worn by participants during an event.

  1. Food and Beverages:

Please avoid consuming food and beverages in the activity areas during the service.

This assists us to maintain a safe and enjoyable environment for all participants and minimises the potential for spills, personal and public hygiene, and allergic reactions to certain foods. We appreciate your understanding and cooperation with this request.

Participants are welcome to step outside the activity area to consume food or beverages during the event if they wish. We do recommend eating before or after the event to maximise the benefits of these classes.

Sensory Magic with Ebony endeavours to create activities that are nut-free. However, we cannot guarantee the absence of nut traces. Parents and guardians are responsible for assessing the risk and suitability of each activity based on their child’s individual needs.

By attending your booking, you accept Sensory Magic with Ebony will not be responsible for allergic reactions to food, beverages, and other products your child consumes during the service.

  1. Customer Risk Policy:

It is the customer’s responsibility to have their own risk management policies including any childcare-specific requirements. It’s the responsibility of the customer to ensure their risk policies and safety procedures are aligned with the event’s nature.

It will be up to the individual person booking this event to ensure Sensory Magic with Ebony activities comply with their risk policies and safety procedures.

For birthday parties that are in a private venue, it’s up to the customer to ensure that they have permission for Sensory Magic with Ebony to attend and run their session. They will also have to ensure that they have their own risk policies and procedures and ensure Sensory Magic with Ebony complies with these.

  1. Photography/ Videography

By attending a Sensory Magic with Ebony event, you are giving your implied consent for you and your child’s image and recordings to be captured and used.

Sensory Magic with Ebony may use these images and recordings for purposes such as their website, and for promotional material for sharing on Facebook, Tik Tok, Instagram and other electronic platforms that will generate interest in the services Sensory Magic with Ebony provides.

By attending a Sensory Magic with Ebony event, you agree to assign your rights in any captured images or recordings us. This means we can use them without further permission.

Opting Out

If you do not want you or your child’s image used, you must inform Sensory Magic with Ebony in writing via email or by hand on the day of the service. This is something we will take seriously and will always comply with your request.
